Application Guide and Application Forms for Keio Exchange Program                                                                                                           

This application guide and the following documents are designed exclusively for students who are officially nominated by one of our partner institutions to come to Keio on the student exchange program.  Applications must be submitted by an exchange coordinator at a partner institution along with an official nomination letter. Applications sent directly by students will not be accepted.
   

Eligibility

   

To qualify as an exchange student at Keio University, you must meet the following requirements:

1.  Be enrolled at one of the Keio’s partner institutions. 

2.  Maintain student status at your home institution during your study at Keio.

   

Important Note

  • Extending your study period is not permitted in principal. Please plan and choose your study period very carefully when you apply.  

     

  • No credits or certificate will be given if you are not enrolled until the end of the course and miss the exams. No exceptions will be made for those who wish to leave early due to academic schedule conflicts or graduation from your home institution. Please check our “Academic Calendar” and “Important Dates”, and consult with your HOME institution  well in advance.

  •  It is important that you choose the program that best suits you. Please read the course description very carefully before you make your decision. Each course has its own conditions and requirements.

  • Students must be able to receive sufficient financial support during their study period at Keio. The average cost of living expense is about JPY 130,000/month if you live in one of the dormitories subsidized by Keio University.

     

  • Incomplete applications will not be processed. Please read the instructions carefully and prepare the documents as explained. Application documents should be typed by Word or other similar software. However, if you do not have an access to such tools, only then may you send a handwritten application- please write them NEATLY and CLEARLY with black ink.

Application Procedure

Students must complete the online registration in addition to the paper-based application documents. Please read the following instructions very carefully. Be sure to complete all 3 stepsIncomplete applications will not be processed!

STEP 2. SUMBIT APPLICATION DOCUMENTS

 

  • All application documents must be ORIGINAL or certified true copies and prepared particularly for the Keio student exchange program.

  • An authorized Japanese or English translation is required if the text is not written in Japanese or in English.

  • Documents used for the internal selection at your home university will NOT replace the application documents for our program.

  • Please do not send any extra documents unless otherwise instructed.

Application Documents For JLP Students     *All documents must be ORIGINAL or certified true copies

 1.  Official Nomination Letter (Cover Letter) from your Home Institution

- To be provided by an exchange coordinator at your home institution.

 2.  Application Form

- Signature of both applicant and the exchange coordinator are required.

     with three official ID photos

- Glue one to the Application form. Size and format:3cm×4cm ID photo, no background, must not be a copy of a colored photo (NO Staples).

- Clip other photos to your Application Form.

 3.  Study Proposal

 

 4.  One Academic Reference    (Recommendation Letter)

- The reference should be written by a professor at your home institution for this program within the past 3 months.

 - The reference should also be signed by the referee, as we cannot accept electronic or scanned signature.

- The reference written by TA (Teacher's Assistant) or used for the internal selection at your home university is not acceptable.

 5.  Self-evaluation Sheet for Japanese  Language Proficiency 

- If you have no background in Japanese, simply put “ x ” in all boxes and sign the form.

 6.  Official Transcript

- Your full academic record from your home institution. If the latest transcript is not available at the time of the application, your home  institution must submit an original copy as soon as one is issued.

- If it is issued in the language other than English, attach an English or Japanese translation.

 7.  Certificate of Health 

- Must be completed and signed by a physician, NOT by the student.
-
A chest X-ray result is required (the result must be taken within the past 6 months). You do not need to send the film.

 8.  Personal Medical Report 

- Must be completed by JLP applicants.

 9.  One photocopied set

 

- One photocopied set of Document #2 (with ID photo attached) and #3 – 8

- All documents should be stapled together at the left top of the page.
- For
the Academic Reference, open the envelope and make a photocopy if it is sealed.

Application Documents For KIP Students     *All documents must be ORIGINAL or certified true copies

 1.  Official Nomination Letter (Cover Letter) from your Home Institution

- To be provided by an exchange coordinator at your home institution.

 2.  Application Form

- Signature of both applicant and the exchange coordinator are required.

     with three official ID photos

- Glue one to the Application form. Size and format:3cm×4cm ID photo, no background, must not be a copy of a colored photo (NO Staples).

- Clip other photos to your Application Form.

 3.  Study Proposal

- Please read "Study Information for Keio International Program" before you complete the form. 

- Applicants who wish to take undergraduate faculty courses conducted in Japanese must write the proposal in Japanese.

 4.  One Academic Reference            (Recommendation Letter)

- The reference should be written by a professor  at your home institution for this program within the past 3 months.

 - The reference should also be signed by the referee, as we cannot accept electronic or scanned signature.

- The reference written by TA (Teacher's Assistant) or used for the internal selection at your home university is not acceptable.

       STEP 3. SUMBIT VISA DOCUMENTS
      

        Deadline: March 30 

        

  Visa Documents (Required by the Immigration Bureau)

1. Application for Certificate of Eligibility

“For applicants, Part 1,2,3  EXCEL    (SAMPLE)

 (Not required for Japanese Nationals.)

 

- This form is required by the Japanese Immigration Bureau and MUST be completed exactly as instructed. Refer to “SAMPLE” before you fill out the form. 

- This form needs to be prepared in EXCEL Only. Please send the completed Excel File to us by email to the following email address: ic-coe@adst.keio.ac.jp

- Please put your home institution, your program at Keio and your name as the email subject.

           eg. Sydney University, KIP, Jane Smith

           eg. Lyon 3 University. Research. Jack Brown

- For Chinese and Korean nationals, write your name in English and Chinese character as instructed.

- If you have dual nationalities, choose one nationality (passport) and make sure you write the information as for the chosen passport only, including the “Past entry into/depart from Japan .

2. Certificate of Financial Support 

 Select which financial resources you will    provide from 1-4 below and submit required documents.

- All exchange students must demonstrate that they have enough funds to support their stay at Keio.
- The certificate must show the expected cost of their stay which is at least JPY 130,000 (or equivalent in local currency) per month for the period of stay (six or eleven months)
- A copy of your monthly bank statement will not be accepted.
- An authorized Japanese or English translation is required if the text is not written in Japanese or in English.
- JASSO scholarship cannot be a part of your Financial support as we cannot confirm you will be awarded JASSO scholarship at this moment.
           1)Personal Funds  - Documentation required: A bank statement or bank letter on official bank letterhead indicate the type of account, the current balance and type of currency.  The student's name must appear on the bank document.  (SAMPLE)
           2)Family Funds  - Documentation required:
1.A letter of support in English or Japanese signed and dated by a family member who intends to provide for your expenses. The letter must indicate the amount of funds to be provided, the duration of the support, and the individual's relationship to you. (SAMPLE)
 
AND

2.A bank statement or bank letter on official bank letterhead indicate the type of account, the current balance and type of currency. The name of the family member providing support must appear on the bank document (SAMPLE)
           3)Sponsoring Organization Funds  - Documentation required: a letter in English or Japanese from a sponsoring organization that indicates the amount of funds to be provided and duration of the award.
           4)Loan Funds  - Documentation required: Please provide a copy of the approval letter indicating the amount of the loan.
3. One Passport Copy - Photocopy all pages with records relating to entry to or departure from Japan, as well as personal information.
   

 

Japanese Nationals

 

Japanese nationals, including those with dual nationalities must enter Japan as a Japanese national with a Japanese passport. If you do not have a Japanese passport, apply at a nearby Japanese embassy or consulate nearby. Do not enter Japan with a foreign passport.

Please note that you still need to submit the Certificate of Financial Support and one passport copy that are listed under the visa documents.

 

CREPUQ Applicants

 

Keio University only accepts a limited number of students from CREPUQ partner universities. Please attach the CREPUQ application forms in addition to the Keio application forms.

 

   

Scholarship

 

The number of scholarships available is very limited, so the competition is fierce. Because of this, we strongly urge students to comprehensively plan their financial support before arriving.

   

JASSO Scholarship

We have no information for 2013 JASSO Scholarship at this moment.
Details will be updated once we receive information from JASSO.

 

   

 

Housing

 

There are some off-campus university dormitories that are subsidized by Keio University. Exchange students have priority access to a room in these housing arrangements during their study period at Keio University. The housing application information will be sent to you by e-mail by mid June for the fall admission and mid December for the spring admission .
