Information for Participants

This information will be updated several times before the conference, so please check this page regularly.
Insurance:
Please be advised to obtain adequate health and accident insurance to cover all medical contingencies during the conference and your stay in Japan. Hospitalization and all medical expenses are not the responsibility of Keio University.
Accommodation:
We are offering you six nights accommodation, from July 29th to August 3rd, on a one person per room basis at no cost at the Villa Fontaine Tokyo-Mita. For any other arrangements, please contact the Villa Fontaine Tokyo-Mita directly at mita@villa-fontaine.co.jp by July 19th at the latest.
It's a 15-minute walk from the Mita Campus of Keio University, and there is a supermarket and many restaurants near the hotel.
If you plan to stay longer than the 6 nights, you will be responsible for arranging your own accommodation for the nights prior to, or after the conference, and will have to bear the cost of the additional expense. Please note that Keio will not handle bookings for longer stays, nor for people other than a registered participant.
At the Villa Fontaine Tokyo-Mita, the costs of accommodation for extra nights and/or extra persons should be paid upfront, in Japanese-yen cash or by credit card (VISA, MASTER, AMEX, DINNERS, JCB) at the time you check in at the hotel. Please note that you cannot use Traveler’s Checks, and an exchange service is not available at the hotel.
A Flight Information Registration Form will be uploaded onto our web site on July 2nd. After booking your flight, please submit your flight information on the online registration form by July 11th at the latest. If you do not submit your flight information by July 11th, your hotel bookings will automatically be canceled.

All hotel rooms have fiber optic LAN connections free of charge.
However, you will need to bring your own computer, PC/LAN card, and cable to use them.

For more information, please visit their web site at:
http://www.villa-fontaine.co.jp/eng/mita/index.html.

Transportation:
Part of the transportation costs for social programs will be met by Keio, but the rest is at your cost.
How to get to the Villa Fontaine Tokyo-Mita from Narita Airport
  1) Take the JR Narita Express (N' EX) to Shinagawa Station, and take a taxi to the Villa Fontaine Tokyo-Mita.
* The one-way costs are as follows:
Narita Airport - Shinagawa Station (3,110 yen)
Shinagawa Station - the Villa Fontaine Tokyo-Mita (about 1500 yen)
* For more information on the JR Narita Express, please visit the JR web site at http://www.jreast.co.jp/e/nex/index.html.
  2) Take the Keisei Skyliner to Keisei Ueno Station, transfer to the JR Yamanote-line, get off at Tamachi Station, and walk for about 15 minutes to the Hotel.
* The one-way costs are as follows:
Narita Airport - Keisei Ueno Station (1,920 yen)
JR Ueno Station - Tamachi Station (160 yen)
* Please note that Keisei and JR are different railway companies, and that the transfer between the railway stations at Ueno is quite long.
For more information on the Keisei Skyliner, please visit their web site at http://www.keisei.co.jp/keisei/tetudou/keisei_us/top.html.

Computers:

Only a few Japanese-language-capable computers will be available for conference participants at a makeshift computer booth at the Conference Secretariat. You will not be able to use other computers on the Mita Campus of Keio University.

If you like to use your own computer on the Mita Campus, you need to register its MAC address at the time you confirm your participation through the online registration system. Please note that you might also need to bring a transformer depending on where you come from.
The MAC address (the physical address or hardware address) lets us identify you on the network so that we can assign you a valid IP address.
Usually, the address for your network card is physically located on the card. It might be on a sticker or printed directly on the card often by a barcode. It is a twelve-digit number of hexadecimal characters (0-9, a-f).
It will usually look like this: 00-E0-29-44-9b-2b.
If you don't know how to find your MAC address, please look at the following web page at:                            http://www.dur.ac.uk/its/services/network/lan/mac/ <Durham University>
Presenters are expected to use only the built-in computer that will be available in each lecture theatre, and to use PowerPoint for their presentations.

Please bring your PowerPoint file on a USB (memory stick). If you are using Windows Vista or the 2007 Microsoft Office system, your file should be prepared in a way that is compatible with a pre-released version of the system. Please avoid using two-byte characters and spaces at all times. (Please do not use “ ”, use commas instead.)

All hotel rooms have fiber optic LAN connections free of charge.
However, you will need to bring your own computer, PC/LAN card, and cable to use them.
For more information on the hotel's internet facilities, please visit their web site at:                                                                       http://www.villa-fontaine.co.jp/eng/mita/index.html.
Food:
Breakfast and lunch are provided for free during the conference.
If you want to eat something else, you will pay around 700 - 1000 yen.
Except for the Welcome Reception and Conference Dinner scheduled as part of the conference program, dinner is at your own expense. Dinner will cost at least 1000 yen, but if you drink, you will pay at least 3000 yen.
However, there are many fast food and convenience stores around the city, so it is also possible to eat something that costs you only about 500 yen.
Banking:
There are ATMs of Mizuho Bank, Sumitomo-Mitsui Bank, and Bank of Tokyo -Mitsubishi UFJ on the Mita Campus. If you have a cash card with the mark PLUS or STAR, you can use these machines to withdraw cash in Japanese yen.
Please be aware that there are few places near by where you can change foreign currency into Japanese yen. The Tamachi branch of the Bank of Tokyo-Mistubishi UFJ by the JR Tamachi Station is probably the best place to exchange $US into yen.
